    Position Overview

    C&S is seeking an Administrative Assistant IV to support to an Senior Vice President (SVP) on a daily basis. In this role, you will act as an interface for the SVP, and may represent the company on behalf of multiple Vice Presidents. You will manage the daily schedule, prepare the SVP for scheduled meetings, create executive presentations, and manage assignments and performance of one direct report and one indirect report. In this role, you will coordinate and interact with others at all levels of the organization.

    Responsibilities

    • Calendar management, requiring interaction with both internal and external constituents; ensure EVP is prepared for all scheduled meetings
    • Act on the behalf of the EVP to accept or decline appointments based on availability
    • Create presentations for the EVP for meetings with Senior Leadership, Board of Directors and staff.
    • Direct and oversee team member responsible for analyzing budget numbers, submitting budget changes in a timely manner, assisting staff with inquiries regarding budget numbers, training staff on the appropriate systems to ensure coverage during PTO, and succession planning.
    • Handle administrative and personal items as needed, including but not limited to: travel arrangements, expense reports, special projects, filing, and meeting preparation. Create and maintain EVP filing system.
    • Execute minutes of all team-related meetings; ensure action items are followed through to completion.
    • Event and meeting planning, both on and off-site, including location and menu selection, room set up, and creation of meeting agendas.
    • Participate in the coordination of special events and employee relations activities on an as-needed basis
    • Ensure and maintain confidentiality of all appropriate communications and documentation
    • Other duties as assigned.

    Qualifications

    • Excellent organizational and prioritization skills with high attention to detail
    • Bachelor’s Degree in Business Management or related field
    • Five to seven years’ experience in similar position
    • Advanced understanding of Microsoft Office, including Outlook, Word, PowerPoint, and Excel
    • Excellent written and verbal communication skills
    • Able to adapt and think quickly to changing priorities
    • Able to manage multiple projects and prioritize in a fast-paced environment
    • High level of professionalism
    • Strong team player with the ability to learn quickly and independently
    • Availability to support the EVP while they are traveling
