    Position Overview

    As an Administrative Assistant III, will perform departmental project tracking activities as assigned, track projects including developing and maintaining project plans, budgets, and staffing requirements, act as an interface between employees and vendors, ensure that all team members involved are on target for successful completion of the project, provide administrative support to Executives on a daily basis, manage the daily schedule, assist Executives in preparation for scheduled meetings, and may represent the company on the behalf of Executives.

    Responsibilities

    • Coordinate daily calendar. Ensure Senior Vice President /Vice Presidents are prepared for all scheduled meetings. Accept, decline, and/or reschedule appointments based on availability of the Vice Presidents; prepare files needed for meetings. Facilitate others’ participation in order to ensure meeting efficiency, etc. Coordinate conference calls and appointments with participants.
    • Coordinate meeting and travel arrangement both on- and off-site
    • Answer phones and take accurate messages, including receiving and handle external vendor calls. May represent the company on the behalf of Senior Vice President/Vice Presidents. Research additional information about the vendor offering (if appropriate) and create an analysis and recommendation for action regarding the offering
    • Plan and organize team meetings. Recommend locations and make final selection, determine room set-up and menus, and create and modify meeting agenda as requested
    • Prepare and distribute letters, spreadsheets and PowerPoint presentation for customer, vendor, or internal meetings and communications
    • Indirectly work for Executive Vice Presidents and other Vice Presidents as needed, as well as Management team; support and back up Executive Vice President
    • Coordinate daily administrative tasks (filing, photocopying, mail, faxing, etc.)
    • Participate in the coordination of special events and employee relations activities on an as-needed basis
    • Create, implement and track department invoices and expenses
    • Create and maintain filing systems for Senior Vice President/Vice Presidents
    • Execute minutes at all team-related meetings as needed; ensure action items are followed through to completion
    • Track status of Customer or project tasks for updates and progress; report gaps between target and actual status
    • Plan team activities, working closely with Procurement Admin. 
    • Serve as backup for other managers of the Merchandising Department
    • Communicate and track all National Marketing Events
    • Oversee and organize any office building maintenance issues and communication
    • Handle calls from Vendors, Retailers and Sales team
    • Manage Monthly Order Guide and Monthly Promo Planner schedule and delivery
    • Special project and other duties as assigned

    Qualifications

    • High School diploma or equivalent 
    • Minimum of three to five years of relevant administrative experience
    • Proficient in Microsoft Office, including Outlook, Word, PowerPoint, Excel and Project
    • Excellent verbal and written communication skills
